Business Meeting Agenda

Friday June 20, 2008

Board Evolution
• Financial and policy decisions made since last reunion (items can be found in past newsletters)

Financial Report
• Handout & discuss
The projected Balance Sheet with Income and Expense items listed was approved with the understanding that a final, actual amount was not available with income and expenses still ongoing. This is now complete and after all reunion expenses were paid, we closed the fiscal year with a balance of $275.56. We had $600 income from Dues and $100 in Donations at the reunion. There have been no expenses to date so our current balance is $975.56.

Mission Statement & Policies
• Approve mission statement and previous guidelines - This policy was approved
• New Policies:
No outside media at the reunions - This policy was approved.
Our group would mainly support our reunion and not others who may request advertisement. - This policy was approved.
Requests for info/interviews from outside the Vets - Compile a list of names who might be interested and contact only those.

The Department of Veterans Affairs
•Two branches when it comes to benefits. The Veterans Health Administration and The Veterans Benefits Administration.
•Input into the Claimants Representatives
Chuck Unterberger presented a brief account of the two areas where veterans may receive benefits and had handouts available explaining these programs. Here is a synopsis of his talk.

Americal Division Veterans Association
• Membership & applications
Dan Malin presented brochures and explanation of the ADVA's mission and encouraged those interested to join the ADVA.

Lists of Contacts & Deceased
Dan Malin pointed out the lists available and encouraged attendees to call and meet with nearby veterans of Charlie Company.

Dues
• Time frame of yearly dues and collection
It was decided that the official time for the membership would be from June 1 to May 31 of the next year. It was also approved that those paying dues late in the year would still be included in the next year's membership.

Feedback about newsletters and web site
• Offer digital newsletters either online or by email
This idea to save money was approved and a list was started to find those who wanted their newsletter by email or would read it from the web site.

Internet Search at paid site for other vets
We are having success with free Internet searches and Ms. Kitty's help but there are several Internet Search Sites available that charge you to search their data bases for addresses. We are considering using one of these in the future as time permits and pay for the time period with CO money. Informational info only but we did want members to be aware of this possible expenditure. We also asked for names and possible addresses of those they'd like us to search.

Feedback about this reunion

Input about next reunion
• New location?
• Same? Hotel? Extras (golf, meals, tea room)?
No one seemed to be opposed to moving to another location in the future as long as the event remained centrally located and we would receive at least the same benefits as we currently receive. Indianapolis, St. Louis and Nashville were presented as possibilities but we detected no evidence the northern Kentucky area was getting "old" at this time.

Present flag flown over US Capitol
• Presented to Chuck Seketa in 2007 to honor his work and research of 1st Battalion ~ 20th Infantry.
The flag was presented this year to Dan Malin to honor his work in locating and contacting so many Charlie Company vets.

Other business
Chuck and Liz Unterberger won the drawing for a free room night of those who'd made reservations before the end of St. Patrick's Day. Congratulations, Chuck & Liz.
